Information requestsWholesalers and breweries

Ask for exactly the data you need, and get it in one place

A wholesaler asks a brewery for what its standard still needs, for a whole selection of products at once, with a deadline. The brewery sees exactly what is missing, completes it once in its own catalogue, and every other partner has it too.

One request instead of a spreadsheet by email

Ask a brewery you have a distribution agreement with for exactly what you need. The deadline, the reminder and the conversation stay with the request.

  1. 1YouPick the products and what they needSelect part of the brewery's catalogue — beers, products or packaging, by tag — and choose what must be filled in: allergens, nutrition values, GTINs, pallet information, deposit, any other field, or a packshot or label. Before you send it, you see how many items already have it.
  2. 2By itselfA deadline, and a reminder before itThe deadline goes with the request. Choose an automatic reminder, from an hour to a week before it, and the follow-up happens without you.
  3. 3Your choiceSign it off before it closes, if you likeWith a simple request, the brewery closes it once it is done. With sign-off, the brewery submits it and you approve it, with a message if you like.
  4. 4Your systemsThe answers, where you work with themThe data is on the product records you have access to. Webhooks tell your ERP when a request is answered or runs late, and a read-only API key fetches the details.

See what is asked, and answer it once

Every wholesaler wants something slightly different. A request says exactly what, for which products, so you complete it in your own catalogue instead of in a spreadsheet that goes back and forth.

  1. 1In your InboxEvery request in one placeThe contact person of the distribution agreement gets an email, and the request waits in your Inbox with its deadline and the wholesaler's message.
  2. 2YouOpen only what still misses somethingOne click opens your catalogue filtered to the items the request still needs, until it says all done. What you add is in your own catalogue, so every other partner has it too.
  3. 3For the wholesalerTheir template, filled from your catalogueDownload the wholesaler's template filled in, in its own layout. No retyping, and no wondering which column meant what.
  4. 4YouClose it, or submit it for sign-offMark the request as resolved with a note, or submit it when the wholesaler wants to approve it first. Either way the wholesaler hears it by email.

Both sides

One request, one conversation

Brewery and wholesaler work from the same request, so neither keeps a second list of who still owes what.

  • Answered once, for every partner

The brewery completes its own catalogue, not a file for one wholesaler. The next wholesaler that asks for allergens already has them.

How a brewery fills every template →
  • Messages stay with the request

Both sides send a message without closing the request, and see the whole exchange on its timeline. Emails go to the contact persons of the agreement.

  • Your ERP hears it too

Webhooks tell your own systems when a request is sent, answered, submitted for sign-off or overdue.

Questions about information requests

What if the brewery is not on BeerCollab yet?
A request goes to a brewery you have a distribution agreement with on BeerCollab. Invite the brewery first: a brewery account is free, and the agreement follows from there.
Can one request cover a whole range?
Yes. One request covers any selection of one brewery's catalogue: a single product, a seasonal range or everything, filtered by beer, product or packaging and by tag.
We work with our own spreadsheet. Does that still work?
Yes. Your template is set up in your own layout, and the brewery downloads it filled from its catalogue. How templates work →
What happens after the deadline?
The request shows as overdue on both sides, and a webhook tells your systems. A request waiting for your sign-off is never overdue.
What does it cost?
Information requests are part of the wholesaler's Connected plan and up. For the brewery that answers them, BeerCollab is free.Plans for wholesalers →
