The short version

  • We collect what we need to run your account, and we hold the product data you choose to put in on behalf of your company.
  • We do not sell your data, and we do not use it to advertise to you.
  • You can ask for a copy of everything we hold about you, or ask us to delete it.

1. Who we are

BeerCollab is operated by Rilaa, registered at Vlierlaan 34, 5056 XT Berkel-Enschot, Nederland, Chamber of Commerce number 80935710, VAT identification number NL003507025B66.

We act in two different roles, and the difference matters for your rights. We are the data controller for the account and registration details, financial administration, marketing and analytics we need in order to operate the platform. We are a data processor for the product, drinks, packaging and media data you put into the platform: that data belongs to your brewery, wholesaler or venue, and we hold and process it on your instructions.

2. What we collect

Three kinds of data, from three different places.

3. Why we use it

To give you and your colleagues an account and the right permissions within it. To share the product data you chose to share, with the partners you chose to share it with. To send you service messages about your account and about changes to the platform. To keep the platform working, find faults and fix them.

We do not sell your data, we do not pass it to advertisers, and we do not use your product data to build a public catalogue.

4. Our legal basis

BeerCollab exists so that its users can use smart software and data analysis to simplify their administration and their collaboration with each other. Delivering that necessarily requires us to control and process the relevant data, and that is the basis on which we do it: performing the agreement we have with you, and our legitimate interest in operating and improving a platform you asked to use.

Where we rely on your consent instead — the newsletter is the clearest example — you can withdraw it at any time, and doing so does not affect anything else about your account.

5. Who else sees it

Two very different groups, and it matters not to blur them.

Partners you chose. Product data reaches a wholesaler or a venue only where you accepted a distribution agreement and granted access to that specific product. You can revoke either at any time, and a beer under a release embargo stays hidden until the date you set.

Sub-processors we use. Hetzner hosts the platform; its data centres are in Germany and are certified to ISO/IEC 27001. Cloudflare sits in front of the platform for delivery and protection. Sentry receives technical error reports so faults can be found and fixed. Traffic is encrypted from your browser through to the server. Each of these is bound by a processing agreement and none of them may use your data for their own purposes.

6. How long we keep it

An account that has not been logged into for 18 months is anonymised. You will not be caught out by that: we email a notice six months before, and again one month before, so there is time to log in or to export what you want to keep.

Financial administration is kept for as long as Dutch tax law requires. Product data is kept for as long as the company it belongs to has an account with us.

7. Your rights

You can ask us for a copy of your data, ask us to correct or delete it, object to a particular use, or ask for it in a portable format. Much of it you can export yourself from within the platform at any time. For anything else, write to security@beercollab.com and we will answer within one month.

Where we act as processor rather than controller — your product, drinks, packaging and media data — a request about that data goes to the company whose data it is, and we will help them answer it.

If you are not satisfied with how we handled your request, you can complain to the Autoriteit Persoonsgegevens, the Dutch data protection authority.

8. Cookies

We set no tracking, analytics or advertising cookies. The one cookie the platform sets is strictly necessary and lasts thirty seconds: it hands your session from this website to the application when you sign in.

9. Changes to this policy

When we change something material we update the date at the top of this page, and we email every user who has actively logged in during the previous three months.
